We are assisting our client with the hiring of a Manager of Special Events and Donor Engagement to join their team as a full-time employee.

Our client has long had a strong reputation for innovation, creativity, and excellence. With an annual operating budget of $10M, 58 full-time musicians, and a 34-week performance season, it is currently an organization that is changing the very idea of what a 21st century orchestra can be and do.

The Special Event Officer is a key member of the Development team and leads all event-based activities that directly impact donors of our client.

Duties and Responsibilities:

Initiate, organize, design, develop, execute, and assess all fundraising, friend-raising, and donor recognition events;
Set clear fundraising goals for each event, build leadership support and develop and track budget; manage vendors etc.
Maximize opportunities around concerts programs to engage our current and future donor base
Develop and manage a timeline for internal and external event promotional materials, oversee production of invitations, menus, RSVP cards, give-a-ways, etc., ensure that mailings/notices/ads etc. are completed on schedule, and work with communications staff on media coverage
Work collaboratively within the development department and also the Patrons department for maximization of impact of events.
Negotiate and monitor compliance of vendor contracts, including concert dinners, committee events, and special events
Collaborate with other team members to implement cross-departmental goals and initiatives
Plan, organize and monitor budgets for the development and special events
Supervise special projects as necessary
Recruit and coordinate volunteers to assist within the development office and for special event duties
Assist with planning and developing season materials such as the seasonal impact report, program book, brochure, and other collateral
Plan and implement development marketing strategies as needed
Develop and maintain a calendar of deadlines and daily activities as related to development events and committee meetings
Research and identify future patrons and sponsors
Supervise the administrative aspects of all events to ensure they exceed guest expectations

Qualifications, the ideal candidate:
Have a proven track record of strategic execution of special events for fundraising purposes.
Have minimum of three years managerial experience, preferably for an arts-based, not-for-profit organization
Is very professional and able to represent the organization to major donors, business and community leaders at the highest level possible
Holds a bachelor’s degree in business management, arts administration, or related field
Is flexible, positive, detail-oriented, and organized
Can multi-task and work under pressure
Possesses excellent oral and written communication skills
Demonstrates exemplary leadership, delegation and prioritization skills to achieve common goals and objectives
Can work both independently and as a team player
Is able to work evenings and weekends, including some holidays to cover events and performances
Has an interest in and/or some knowledge of classical music
