The Executive Assistant to the CEO and Board Liaison provides administrative support to the CEO by demonstrating “best office” practices. This position requires a sense of anticipating issues that could affect KPA success and also ensuring the CEO is acutely aware of these matters. The Executive Assistant anticipates and is proactive in preparing for the CEO all administrative materials for meetings and day-to-day matters.

Role Responsibilities

Performs confidential administrative assignments for the CEO with appropriate discretion.
Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects
to successful completion, often with deadline pressures.
Maintain attendance records, send staff invitations, arrange catering and room set up.
Complete a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
Arrange meetings of KPA Board, Foundation Board and Executive Committee meetings including ensuring appropriate meeting set up.
Adhere to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
Coordinate and oversee bi-monthly board meetings and regular/non-periodic committee meetings materials, including the preparation of board agendas, materials, minutes and record retention
Perform Executive Department general accounting with P.O.s and expense documentation.
Maintain and update rosters of KPA Boards and their committees as required.
Communicate directly, and on behalf of the CEO with Board members, donors, staff, and others, on matters related to CEO’s programmatic initiatives.
Provide a bridge for smooth communication between the CEO’s office and internal departments.

Education, Experience and Skill Qualifications

Bachelor’s degree or equivalent experience required
2 -5 years of experience supporting c-Level Executives
Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), and Adobe Acrobat
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors.
High level of written and verbal communication skills.
Demonstrated proactive approaches to problem-solving with strong decision-making capability.
Resourceful team-player with the ability to also be highly effective independently.
Proven ability to handle confidential information with discretion, be adaptable to various competing
